🧩 Setting Up Microsoft Authenticator to Access Another Company’s Teams Account
If an external company invited you to join their Microsoft Teams, you’ll likely need to set up Microsoft Authenticator to verify your identity. Here's a step-by-step guide to help you get connected.
✅ What You’ll Need
Your work email (e.g., user@company.com)
A smartphone
The Microsoft Authenticator app (free download)
An invitation email from the external company
📲 Step 1: Download the Authenticator App
On your phone:
Go to the App Store (iPhone) or Google Play Store (Android).
Search for Microsoft Authenticator and install it.
✉️ Step 2: Accept the Teams Invitation
Open the email invitation from the company.
Click the link to join their Teams environment.
Sign in with your work email address (e.g., user@company.com).
You’ll be taken to a setup screen for extra security (multi-factor authentication).
🔐 Step 3: Begin the Authentication Setup
When asked how you want to verify your sign-ins:
Choose “Mobile App” as your method.
Select “Receive notifications for verification”.
Click Set up — this will display a QR code on your screen.
📷 Step 4: Link the Authenticator App
Open the Microsoft Authenticator app on your phone.
Tap the “+” button to add a new account.
Choose “Work or school account”.
Use your phone to scan the QR code on your computer screen.
Your account should now be added to the app.
✅ Step 5: Finish Setup
Go back to your computer.
Click Next — a test notification will be sent to your phone.
Approve the notification in the app to confirm everything works.
🔄 Step 6: Switch to the External Organization in Teams
Once set up:
Open the Microsoft Teams app.
Click your profile picture (top-right corner).
Choose the external organization from the dropdown list.
If prompted, approve the sign-in on your phone using the Authenticator app.
